Position Summary
The primary responsibility of the Community Outreach & Events Coordinator is to oversee both internal and external events for the organization as well as chair internal committees focused on employee satisfaction and community service.  The candidate will be required to source external venues, negotiate favorable contract terms, and organize all aspects of each event. This position will be responsible for planning 30+ events per year which include employee and client recognition, industry tradeshows, a local 5K run, and an annual incentive trip for the corporate office.
 
Essential Duties and Responsibilities
  • Must possess the ability to source external venues such as hotels, conference centers, and restaurants to identify favorable locations to host events
  • Negotiate favorable contract terms for each event
  • Organize and manage all event details such as decor, catering, entertainment, transportation, location, invitee list, corporate guests, audio visual equipment, and promotional material
  • Identify staff requirements and coordinate their activities i.e., flights and hotels
  • Lead and coordinate all aspects of MedPro’s annual incentive trip that takes place each December for 200+ place attendees
  • Cooperate with internal department to promote and publicize events
Required Education, Experience, and Abilities
  • At least 3 years of experience in the Hospitality industry, with an emphasis in event coordination and/or planning
  • Must be proficient in Microsoft Word, Outlook, PowerPoint, and Excel
  • A successful candidate will be extremely organized and able to manage the logistics of multiple events simultaneously
  • Must be familiar with event terminology and have the ability to identify suitable locations to host events
  • Able to utilize reports, dashboards and views to organize and prioritize activities
  • Minimal travel required
